The question & answer module is an optional feature that can be activated within the solicitation settings via the Other options tab.


Daily Digest

When questions have been asked by suppliers in your solicitation, you will receive a Daily Digest notification of this in your email twice a dayThis message contains an overview of all the questions that were asked in the previous 12 hours. Suppliers receive a Daily digest with an overview of all published questions and answers.


Answer questions and publish immediately

  1. In your solicitation, go to the Question & Answer tab.
  2. Click on the title of a question to open it.
  3. Click the Publish button.
  4. A pop-up opens, here you can optionally change the text of the question.
    • You might want to do this if a supplier has mentioned their company name in the question. 
  5. Enter your answer in the answer text box.
    • You can copy the draft response from colleagues (if applicable) here under Answer from colleagues when you have assigned these questions. See below on Assigning Questions to colleagues for more information.
  6. Click Preview & Send.
  7. Click Publish to immediately publish the answer. 
  8. The answered question has been given the status Published and is now visible to suppliers. 


Answer questions and publish them later

  1. Follow steps 1-6 from above.
  2. Click Save without publishing.
  3. The question now has the status Ready for publication. The answer given is not yet visible to suppliers.
  4. Click the Ready to Publish tabHere you see an overview of all questions with answers that you have prepared.
  5. Click Select page (and then all pages if necessary) and click Publish to publish all questions and answers. 
  6. The questions and answers have been published and have been moved to the Published Questions and Answers tab.


Only publish the question

You can choose to publish a question and then publish the answer at a later time. For example, if you do not immediately have the answer ready, and you want to prevent multiple suppliers from asking the same question.

  1. In your solicitation, go to the Question & Answer tab.
  2. Click on the title of the question.
  3. Select the question (or several questions) by placing a check in the check box after the question.
  4. At the bottom of the page, click Publish questions only. 

Suppliers can see with this published question: Answer is expected soon.



Assign questions to colleagues 

In Negometrix3 you can assign questions to colleagues (for example internal colleagues or subject matter experts). They must be a participant in the solicitation for this.

  1. In your solicitation, go to the Question & Answer tab.
  2. Select the question (or several questions) by placing a check in the check box after the question
  3. Click Assign Questions at the bottom of the page.
  4. Select the desired colleague(s) and click Save.

The names of the colleagues in question are now visible in the Assigned to column


After linking a colleague, this person only sees the assigned questions in his or her personal account, unless this is set differently in their rights. Colleagues have the option to save their answers in draft and to share them without or with you. 


Important

  • After an answer has been published, it is no longer possible to withdraw it. However, it is possible to edit the content. In Published Questions and Answers, click the question and then click AdjustFormulate your additional answer and click Publish . 
  • Is a question by a supplier as Individual question submitted? Then the question would be marked by this purple icon After opening the question you will also see the motivation of the supplier. By answering the question, you can request the supplier to ask the question again and not to mark it as individual, if desired.
  • The attachments that the supplier has uploaded with a question are never visible to other supplier in the solicitation. Do you want to share a document together with your answer with the suppliers in your solicitation? Then you must upload it yourself under the Answer text field.
